What is the Form Feature?

The Form feature in AskSpot requires users to provide some information, such as their name, email address, or phone number, before they can continue chatting with your bot. This is an excellent way to gather leads and build a list of engaged users.

Accessing the Forms Menu

  1. Navigate to Forms:

    • In the left-hand menu bar, click on "Forms." This will take you to the forms page.

  2. Create a New Form:

    • If no forms exist, click the plus button.

    • Give your form a name.

    • Hit "Create."

Setting Up a Form

  1. Form Setup Page:

    • Click on an existing form to access the form setup page.

  2. Header Options:

    • At the top, you can add an image, video, or just use a headline and sub-headline.

      • Image: Recommended size is 375 by 212 pixels.

      • Video: Use a YouTube or Vimeo link.

      • Custom Video: Recommended size is 375 by 212 pixels.

      • No Header: Check the box to remove the header area.

Form Fields

  • While email is included by default, you can still add multiple fields for on Forms.

  • Click "Add Field," choose the field type (e.g., text for a first name), and configure options such as placeholder text and whether the field is required.

  • You can also select the type of field from the following: Text, Textarea, Email, and Phone.

  • Field you might want to consider are: First Name, Phone Number.

Customization

You can also customize the text on your Headline, Sub-Headline, and Submit Button. Also, the colors of the Button Background, Text, and Button Text, can be customized.

Automations and Alerts

  1. Email Alerts:

    • Enter an email address to receive alerts when a form is submitted.

  2. Webhooks:

    • Set up and select a webhook to offload data to another platform (detailed in another video).

User Data Management

  1. Collected Data:

    • View and manage collected user information within the "Collected User Info" tab.

  2. Send Data:

    • Send data to different automations or webhooks from this tab.

Connecting Forms to Bots

  1. Channel Connection:

    • Navigate to Bot Setup: Go to your bot setup pages and select "Channels."

    • Add Channel: Choose the form channel and title it (e.g., "Free Gift").

    • Connect Form: Select the form you created and click "Create."

  2. Trigger Options:

    • Button Trigger: Clicking a button in the chatbot triggers the form.

    • Automatic Triggers: Set the form to trigger after the chat opens, after the first message, or after a specific number of messages.

    • Warning Message: Customize the warning message for users who need to fill out the form before interacting with the bot.

    • Multiple Forms: You can add multiple forms to a chatbot, each for different purposes, like claiming a free gift or collecting specific information.

To ensure your Forms is working correctly:

  1. Open the Chatbot: Start a new chat to test the setup.

  2. Send a Message: Send a message like “Hi, I have a question.”

  3. Verify the Form: Check that the form appears after the first message is sent.

Once the user provides their information, the form will disappear, allowing them to continue the chat. Importantly, you will have captured their contact details for future engagement.

Additional Strategies

Pre-Chat Information Collection:

  • Use a pre-chat message like, “To start a chat, please provide your name and email address.” This ensures you capture leads from the very beginning.
