How to set up Forms & Connect Them To Your Bots

In AskSpot, forms are a powerful tool to collect user information and data from people engaging with your bots. This guide will walk you through setting up a form and connecting it to your chatbots.

Accessing the Forms Menu

  1. Navigate to Forms: In the left-hand menu bar, click on "Forms." This will take you to the forms page.

  2. Create a New Form: If no forms exist, click the plus button, give your form a name, and hit "Create."

Setting Up a Form

  1. Form Setup Page: When you click into an existing form, you’ll be taken to the form setup page.

  2. Header Options: At the top, you can add an image, video, or just use a headline and sub-headline.

    • Image: Recommended size is 375 by 212 pixels.

    • Video: Use a YouTube or Vimeo link.

    • No Header: Check the box to remove the header area.

  3. Form Fields:

    • Default Field: Email is included by default.

    • Adding Fields: Click "Add Field," choose the field type (e.g., text for a first name), and configure options such as placeholder text and whether the field is required.

    • Examples: First Name, Phone Number.

  4. Customization:

    • Button Text: Change the call-to-action text (e.g., "Submit" to "Send").

    • Colors: Adjust background and text colors for the button, headline, and sub-headline.

Automations and Alerts

  1. Email Alerts: Enter an email address to receive alerts when a form is submitted.

  2. Webhooks: Set up and select a webhook to offload data to another platform (detailed in another video).

  3. User Data Management:

    • Collected Data: View and manage collected user information within the "Collected User Info" tab.

    • Send Data: Send data to different automations or webhooks from this tab.

Connecting Forms to Bots

  1. Channel Connection:

    • Navigate to Bot Setup: Go to your bot setup pages and select "Channels."

    • Add Channel: Choose the form channel and title it (e.g., "Free Gift").

    • Connect Form: Select the form you created and click "Create."

  2. Trigger Options:

    • Button Trigger: Clicking a button in the chatbot triggers the form.

    • Automatic Triggers: Set the form to trigger after the chat opens, after the first message, or after a specific number of messages.

  3. Warning Message: Customize the warning message for users who need to fill out the form before interacting with the bot.

  4. Multiple Forms: You can add multiple forms to a chatbot, each for different purposes, like claiming a free gift or collecting specific information.
